Practical guide

Logged time is not automatically billable entitlement

Last materially reviewed 2026-09-19

Quick answerKeep effort measurement, customer allowance and authorized charges as distinct records.
What to know

Define what the timer measures

ManyRequests advertises time tracking and service balances. A timer can show effort spent, but it does not independently establish whether that effort is chargeable to a client. Clarify whether the service is fixed-price, time-based or credit-based and which activities count. Internal meetings, corrections and training may be handled differently under different agreements. Our distinction is a practical accounting boundary, not tax or legal advice.

What to know

Keep an understandable example

An illustrative fixed-fee design request might take six internal hours instead of the four estimated. That difference can inform future pricing, but it does not by itself authorize an extra invoice. Conversely, an hourly agreement may require specific approval before exceeding a budget. Preserve the original allowance and accepted change record. Do not use a precise-looking time total to bypass a commercial decision that still belongs to the customer.

What to know

Review corrections transparently

If a timer was left running or an entry was assigned to the wrong request, record the correction and its reason. Avoid deleting the entire work history to make a total look cleaner. Check whether the corrected entry affects reporting, an allowance or an already-issued invoice before changing related records. The platform’s current permissions and workflow should determine who can make those changes; broad access is not a substitute for review.

What to know

Use the data for better planning

Compare estimated and actual effort across similar work to improve future service boundaries and capacity decisions. Small samples are directional, not a reliable universal productivity benchmark. Keep confidential staff information out of unnecessary client updates. A useful customer summary explains consumed entitlement and remaining agreed work in the units they purchased, while the internal report can separately examine how much time the team needed to deliver it.

Credits express a service unit; hours express time. Neither removes the need to define what the client receives.
