Distinguish the payment systems

Its guidance also describes ACH through Stripe for applicable US clients and treats methods such as PayPal or bank transfer as manually tracked alternatives. That does not mean every method is a native recurring-payment integration. Before choosing a setup, identify where the actual transaction occurs, who verifies settlement and which record the agency uses when a customer asks about a charge.
Prepare a non-financial test first
Use a fictional invoice and ask the provider to demonstrate the relevant states without sending money. Distinguish created, sent, paid, failed and manually marked records. The labels may differ by product; the important point is what evidence supports each state. Do not use a real client’s card or live bank transfer merely to learn the interface. Financial testing requires its own appropriate authorization and supported test arrangement.
Handle manual confirmation deliberately
For a manually recorded payment, the responsible person should compare the actual payment reference, amount, currency and intended invoice before marking it received. A client email saying paid is useful context, not necessarily settlement evidence. Keep any sensitive transaction details in the appropriate restricted system rather than pasting them into general production comments. The delivery team usually needs the authorized service state, not full banking information.
Plan the uncertain case
If the payment outcome is unclear, inspect the existing transaction rather than issuing another charge or creating a replacement invoice immediately. Record who will reconcile it and what work may safely proceed meanwhile. This is a workflow recommendation, not a claim that the portal guarantees recovery. Check the processor’s current eligibility, fees and supported countries separately before relying on a payment method for your own business or a particular client.
