Bring a fictional but realistic job

Prepare a short invented brief, two harmless sample files and a service rule. Choose an example that resembles your work without exposing client material. Ask the presenter to use the intended plan and ordinary client role. A prepared demo is useful, but the evaluation should still answer your scenario. Record whether a capability was actually shown, explained from documentation or promised for a later release; these are different levels of evidence.

Score the four handoffs

Follow intake, assignment, review and completion. At each handoff, ask who owns the next decision and what the other party can see. Use a simple result of passes, fails or unknown rather than an elaborate percentage that hides a missing essential. Keep one sentence of evidence beside each result. An unknown permission boundary remains unknown even if the rest of the interface earns high marks for appearance or convenience.

Include one exception

Have the fictional client submit an incomplete brief or ask for an additional revision. Ask how the team preserves the original request and identifies the changed expectation. You do not need to cause a real payment failure or disrupt a live account. A supported explanation and non-sensitive test can reveal the recovery path. The important question is whether staff would know what happened without creating a duplicate job or charging again.

Leave with an actionable verdict

End the session with three lists: requirements passed, questions still open and systems that remain outside the portal. Assign an owner to the unresolved essentials before purchasing. If the product cannot meet a critical need, stop trying to rescue it with minor strengths. If it passes, the same scorecard becomes your rollout checklist.
