Compare the tradeoff: compare flexibility with defined transactions
A Notion workspace can be shaped around the way a small studio already thinks. A purpose-built service portal supplies a more opinionated path between client requests and administration. Neither approach is inherently more professional. The question is how much of the operating process your team wants to design and maintain. List the repeated transactions, not just the information you want to display on a polished client page.
Inspect who can see and change what
Notion’s sharing documentation distinguishes access levels and ways of sharing pages. Verify the actual arrangement rather than assuming a copied template is private. For either product, test as an ordinary client and as a teammate, not only as the owner. Use fictional material and confirm that a client cannot reach another client’s information. A tidy sidebar and a hidden navigation link are not themselves an access-control test.
Count the work outside the workspace
If invoices, renewal dates and service limits remain elsewhere, identify who reconciles them. That can be entirely reasonable for a small number of stable clients. It becomes fragile when nobody knows whether a new request is included or which version was accepted. Before replacing the workspace, ask whether a clear operating convention would solve the problem. Before keeping it, calculate the recurring attention required to enforce that convention.
Keep the reversible choice
Start with one representative client journey and preserve the old records. Prefer the simpler arrangement that passes your requirements today, not the most flexible system in theory. A studio with well-understood projects may stay with a workspace; a recurring-service team may value a more connected transaction flow. We have not tested either with your clients. Their ability to locate the next action is a more useful purchasing signal than our preference for a particular interface.
